CANCELLATION POLICY

We’re grateful to be considered for your event and always do our best to accommodate changes when they come up. Because each booking requires planning, staffing, preparation, and in some cases custom materials, the following cancellation and rescheduling policy applies.

Cancellations made 15 or more days before the event:
Payments made will be refunded in full, excluding any custom items, branded materials, or specialty products that have already been ordered. These items are non-refundable once purchased.

Cancellations made 8–14 days before the event:
A refund of 50% of the deposit will be issued, excluding any custom items, branded materials, or specialty products already ordered.

Cancellations made 1–7 days before the event:
Payments are non-refundable, as staffing, supplies, and event logistics have already been finalized. However, the amount paid may be applied as a credit toward a future event within 12 months of the original event date, based on availability.

Rescheduling:
We’re happy to work with you to reschedule whenever possible. New dates are subject to availability, and any custom items or branded materials already ordered will remain non-refundable.

TERMS OF SERVICE

This Catering Agreement (“Agreement”) is entered into by and between 3165 LLC, DBA 3165 Coffee, a California limited liability company (“Caterer,” “we,” “us,” or “our”), and the individual, business, or organization booking 3165 Coffee for mobile coffee catering services (“Client,” “you,” or “your”).

Together, Caterer and Client may be referred to as the “Parties.”

By submitting a booking request, approving a quote, paying an invoice, signing an agreement, or otherwise confirming services in writing, Client agrees to the terms outlined below.

1. Event Details

Client agrees to book 3165 Coffee to provide mobile coffee catering services for the event described in the booking form and confirmed through written communication, including email, quote, invoice, or contract.

Any changes to event details, including date, location, service time, guest count, setup needs, menu selections, or special requests, must be submitted in writing and approved by 3165 Coffee at least 7 days before the event.

Changes made after the event has been confirmed may result in additional charges and are subject to availability.

2. Menu & Beverage Service

3165 Coffee will provide coffee and beverage service based on the menu agreed upon at the time of booking. Menu options may vary depending on the selected package, event size, seasonality, ingredient availability, and any approved add-ons.

Our signature event menu may include:

Strawberry Matcha — ceremonial matcha, fresh strawberries, milk

Classic Coffee Bar
Latte — espresso, steamed milk, light foam
Americano — espresso with hot or iced water
Cappuccino
Espresso
Cortado

Non-Coffee & Additional Beverages
Cocoa — cocoa, milk, cinnamon
Matcha
Cold Brew, when added or available
Decaf options, when requested in advance

Syrups, Flavors & Milk Options
Available options may include vanilla, brown sugar, cinnamon, honey, seasonal flavors, whole milk, oat milk, and other selections depending on the confirmed event menu.

Additional upgrades may be available, including custom cups, branded materials, cold foam, specialty syrups, seasonal drinks, matcha add-ons, cold brew, decaf espresso, and event-specific menu customization.

While 3165 Coffee makes every effort to provide all menu items as confirmed, reasonable substitutions may be made if certain ingredients, supplies, or specialty products are unavailable due to vendor delays, supply issues, seasonality, or circumstances outside of our control.

3. Venue Access Requirements

Client agrees to ensure that 3165 Coffee has access to the venue at least 1.5 hours before the scheduled service start time for setup and at least 1 hour after service ends for breakdown and cleanup.

Client is responsible for coordinating directly with the venue to provide access, loading instructions, parking information, elevator access, security clearance, and any other vendor requirements.

Client is also responsible for any parking fees, loading fees, venue access fees, or related costs required for 3165 Coffee to provide service.

Outdoor service is available only when weather and site conditions allow safe operation. Rain, high winds, extreme temperatures, direct sun exposure, uneven surfaces, or unsafe conditions may affect equipment and service. In these cases, 3165 Coffee reserves the right to modify service, adjust the setup location, or require additional cover or protection.

If setup is in direct sunlight or exposed outdoor conditions, a canopy, umbrella, or shaded covering may be required to protect equipment and ensure proper service.

4. Payment Terms

To officially reserve an event date with 3165 Coffee, the required deposit or payment must be received according to the terms listed on the quote or invoice.

The event date is not secured until payment has been received.

Accepted payment methods may include credit card, ACH transfer, business check, or other approved payment methods listed on the invoice.

Client is responsible for notifying 3165 Coffee of any guest count changes at least 7 days before the event. Final guest count will be used to determine staffing, ingredients, supplies, and service needs.

Additional charges may apply for increases in guest count, extended service time, custom requests, added menu items, or event changes made after confirmation.

5. Client Responsibilities

Client is responsible for:

  • Securing and paying for the event venue

  • Obtaining any required permits, permissions, or venue approvals

  • Providing accurate event details and contact information

  • Coordinating vendor access with the venue

  • Providing a safe and suitable setup area for 3165 Coffee staff and equipment

  • Providing required power, space, parking, and loading access when applicable

  • Communicating venue rules, restrictions, insurance requirements, and setup instructions in advance

For espresso service, Client must provide access to one dedicated 120V/15-amp electrical outlet per espresso machine within 25 feet of the setup area, unless another power arrangement has been approved in writing.

Failure to provide adequate power, access, space, or required venue approvals may result in delayed, modified, or limited service with no refund.

6. Insurance

3165 Coffee maintains business insurance appropriate for mobile coffee and beverage catering operations. A Certificate of Insurance may be provided upon request when available.

Any additional insurance requirements, including special venue wording, additional insured requests, excess coverage, umbrella coverage, or other documentation, must be submitted at least 7–10 business days before the event to allow time for review, approval, and processing.

Additional or specialized insurance requests may require extra time and are not guaranteed. Any insurance requirements not disclosed within the required timeframe may not be fulfilled and will not be grounds for cancellation or refund.

7. Indemnification

Client agrees to indemnify and hold harmless 3165 Coffee, its owners, employees, contractors, representatives, and agents from any claims, damages, liabilities, losses, or expenses arising from the event, including but not limited to:

  • Damage, theft, or loss of 3165 Coffee property caused by Client, guests, venue staff, vendors, or event attendees

  • Injuries, accidents, or claims not caused by the direct negligence of 3165 Coffee

  • Venue-related issues, unsafe conditions, or failure to meet required setup needs

8. Limitation of Liability

3165 Coffee shall not be held responsible for delays, interruptions, or failure to perform services due to circumstances outside of our reasonable control, including but not limited to power outages, venue-related issues, restricted access, illness, emergencies, traffic delays, extreme weather, acts of God, unsafe conditions, or other unforeseen events.

If any of these situations occur, 3165 Coffee will make reasonable efforts to provide service as planned, adjust the service setup, or reschedule when possible, subject to availability.

3165 Coffee shall not be liable for indirect, incidental, special, or consequential damages, including but not limited to lost revenue, lost opportunities, reputational harm, or other losses arising from or related to this Agreement or the services provided.

9. Dispute Resolution

3165 Coffee values our clients and strives to provide a professional, thoughtful, and memorable event experience.

If any concern or dispute arises, both Parties agree to make a good faith effort to resolve the matter privately and professionally.

Client agrees to provide written notice of any concern and allow 3165 Coffee a reasonable opportunity to respond and attempt to resolve the issue before pursuing outside action or publishing public complaints online.

10. Governing Law & Jurisdiction

This Agreement is governed by the laws of the State of California.

Any disputes related to this Agreement or the services provided by 3165 Coffee shall be resolved in the appropriate courts located in Sacramento County, California, unless otherwise required by law.

11. Entire Agreement

This Agreement represents the full understanding between the Parties and replaces any prior discussions, messages, or agreements related to the services described.

Any changes to this Agreement must be made in writing and approved by both Parties.

PRIVACY POLICY

At 3165 LLC, DBA 3165 Coffee, your privacy matters to us. This Privacy Policy explains what information we collect, how we use it, and how we help protect it when you visit our website, submit an inquiry, or book our mobile coffee catering services.

What We Collect

We may collect information such as:

  • Your name, email address, phone number, and event details

  • Payment information, which is processed through secure third-party payment platforms

  • Website activity and usage information through cookies and similar tools

How We Use Your Information

We use your information to:

  • Respond to inquiries and manage event bookings

  • Process invoices and payments

  • Provide and improve our services

  • Improve our website and customer experience

  • Send occasional updates or communication, which you may opt out of at any time

Sharing Your Information

We only share your information with trusted third-party providers when necessary to operate our business, such as payment processors, booking tools, or service platforms.

We do not sell your personal information.

Security

We take reasonable steps to help protect the information you share with us. However, no website, payment system, or online platform can guarantee complete security against every possible risk.
